Real estate legal BPO
Polis BPO — AI-assisted real estate legal operations
A platform and an operations team that organize the paperwork of real estate transactions in Brazil: cases, parties, properties, certificates and contract drafts, assisted by artificial intelligence and always reviewed by a licensed attorney.
The challenge
Many documents, many sources, one transaction
A property sale or lease in Brazil gathers documents from different sources, each with its own validity period and owner. Without a single record, what was requested, received and checked gets lost across emails and messages.
Title record (matrícula)
Reading the property's registry record and chain of title, including liens, annotations and entries.
Certificates
Personal, tax, court and property certificates, each issued by a different authority and valid for a limited time.
Due diligence
Review of the transaction's documentary risks before signing, with the open issues identified.
Contract drafts
Contracts built from templates, with versions and revisions until signing.
How it works
Technology to organize, attorneys to decide
The platform holds the operation together; AI supports the team; legal content always goes through an attorney.
Case management
Each transaction is a case, with parties, properties, documents, open items and drafts. The real estate agency follows progress, and the end client uploads requested documents through a dedicated portal, with access limited to their own case.
AI agents built on Claude
Assistants built on Claude, by Anthropic, support the team in reading documents, organizing open items and suggesting deadlines. Every suggestion is checked by a person before it takes effect.
Mandatory attorney review
Contract drafts, legal opinions and deadlines are checked by an attorney before they are used. AI prepares and organizes; legal decisions are always made by people.
What sets it apart
Oversight, privacy and security by design
Human legal oversight
Legal content produced on the platform is reviewed by attorneys admitted to the Brazilian Bar (OAB). AI does not approve drafts or confirm deadlines on its own.
LGPD compliance
Personal data is processed for defined purposes, with role-based access and a dedicated channel for data subjects to exercise their rights under Brazil's data protection law (LGPD).
Security
Each organization's data is isolated at the database level, with managed authentication, encrypted connections and an audit trail of sensitive operations.
